Event Production Manager plays a crucial role in ensuring the successful planning and execution of weddings and other special events. By overseeing all aspects of event production, from initial planning to onsite execution, they contribute to creating memorable and unforgettable experiences for clients and guests alike.
Responsibilities:
- Collaborate with clients to understand their event requirements and preferences.
- Plan and organise all aspects of event production, including venue setup, decor, lighting, and audiovisual requirements.
- Coordinate with vendors, suppliers, and contractors to ensure timely delivery of services and materials.
- Develop and manage event budgets, ensuring that expenses stay within allocated limits.
- Negotiate with vendors to secure competitive pricing and cost-effective solutions.
- Track expenses and maintain detailed records of all financial transactions related to event production.
- Recruit, train, and supervise event production staff, including decorators, technicians, and assistants.
- Assign tasks and responsibilities to team members, ensuring efficient workflow and adherence to project timelines.
- Provide guidance and support to staff members, addressing any issues or concerns that may arise during event preparation and execution.
- Identify and contract suitable vendors and service providers for event requirements, such as catering, entertainment, and equipment rental.
- Maintain ongoing relationships with vendors, ensuring quality service delivery and resolving any issues or disputes that may arise.
- Coordinate logistics with vendors, including delivery schedules, setup instructions, and onsite support during events.
- Conduct regular site inspections to ensure that venue setup and decor meet client expectations and quality standards.
- Address any issues or discrepancies identified during inspections, implementing corrective measures as needed.
- Oversee event production processes to ensure seamless execution and timely resolution of any unforeseen challenges.
- Serve as the main point of contact for clients throughout the event planning and production process.
- Provide regular updates and progress reports to clients, addressing any concerns and soliciting feedback to ensure satisfaction.
- Actively listen to client preferences and preferences, incorporating feedback into event planning and execution to meet or exceed expectations.
Requirements:
- Bachelor’s Degree in any field.
- 1-3 years of experience in event production supervision.
- Strong organisational and project management skills.
- Excellent communication and interpersonal abilities.
- Knowledge of wedding production processes and requirements.
